Medical Malpractice Litigation Secretary

Location: Long Beach, CA (Onsite)

Compensation: Up to $90,000 annually, depending on experience

We are seeking a highly skilled and experienced Medical Malpractice Litigation Secretary to support our legal team in managing complex medical malpractice matters. The ideal candidate will bring strong litigation expertise, exceptional organizational skills, and the ability to handle sensitive and confidential information with discretion. This role is essential to ensuring efficient workflow, case organization, and trial support.

Key Responsibilities

Case Management

  • Support attorneys in all phases of medical malpractice cases from initial intake through trial and settlement.
  • Maintain and organize case files, discovery materials, and court filings.
  • Coordinate with medical experts, treating providers, witnesses, and outside counsel.

Legal Document Preparation

  • Draft, proofread, and file pleadings, motions, subpoenas, affidavits, and related litigation documents.
  • Prepare case summaries, briefs, and trial binders.

Scheduling & Calendar Management

  • Maintain attorney calendars, including litigation deadlines, depositions, hearings, and meetings.
  • Schedule depositions, court appearances, mediations, and expert consultations.

Client & Court Communications

  • Serve as liaison among attorneys, clients, court personnel, and opposing counsel.
  • Manage correspondence and ensure timely communication.

Billing & Timekeeping

  • Track billable hours and assist with preparation of client billing statements.
  • Support invoicing processes and follow up on outstanding balances as needed.

Trial Preparation

  • Organize exhibits, prepare trial binders, coordinate witnesses, and assist with trial logistics.
  • Provide real-time document support during trial.

Required Qualifications

  • Experience: Minimum 5+ years as a litigation secretary, including direct medical malpractice experience.
  • Education: High school diploma or equivalent; legal secretary certification preferred.
  • Skills:
    • Strong knowledge of medical malpractice procedures and medical terminology.
    • Proficiency with legal case management software (e.g., Clio, MyCase) and Microsoft Office Suite.
    • Excellent written and verbal communication skills.
    • Ability to multitask, prioritize, and meet strict deadlines in a fast-paced environment.
    • Strong organizational skills and ability to maintain confidentiality.

Preferred Qualifications

  • Experience in a high-volume litigation practice.
  • Familiarity with state and federal court procedures, including e-filing.
  • Experience managing medical records, chronologies, and retrieval processes.
